In an emergency, call 911

The patient portal is not for emergencies. If you believe you or the patient may be having a medical emergency, call 911 or go to the nearest emergency department immediately. Do not wait for a portal response. Portal communications are not monitored around the clock.

Important: Section 17 contains an arbitration agreement and a class action waiver. These provisions affect your right to bring certain disputes to court or have a jury decide them. Section 17 explains the exceptions and your 30-day right to opt out.

1. About these terms

These Terms of Service are an agreement between you and DoorStep Urgent Care ("DoorStep," "we," "us," or "our"). They apply to your use of the patient portal at https://patient.doorstepuc.com and its related text messages and video calls.

Medical care is covered by separate treatment consent forms and financial agreements. Our Patient Portal Privacy Policy, available at [Privacy policy URL], is part of these terms.

If you do not agree to these terms, please do not use the portal. You can still receive care. Call 540-472-4050 to arrange care by phone.

2. Who can use the portal

You must be at least 18 years old, be located in the United States, control the mobile phone number on your contact record, and have been added by DoorStep staff as a patient, guardian, or authorized caregiver.

DoorStep staff create contact records. There is no public self-registration. You may access only the record created for you and the patient information you are authorized to see.

If you are a guardian or caregiver, you confirm that you have legal authority or the patient’s permission to access the relevant information and assist with scheduling and communication. Tell us promptly if that authority or permission ends. Access to the portal does not by itself give you authority to make medical decisions for a patient.

3. What the portal provides

The portal lets you view upcoming and past appointments, check the mobile clinic’s status on the day of a visit, join pre- and post-appointment calls, see other contacts associated with a patient’s care, and manage sign-in options.

Appointment times, statuses, and arrival estimates may change without notice. The portal may sometimes be unavailable. Do not delay seeking care because of a portal outage.

The portal’s scheduling and status information is not a diagnosis or treatment recommendation. Medical advice provided by a clinician during a care-related call is part of your care and is covered by the applicable treatment consent forms.

The portal does not offer free-text messaging with clinicians. Do not use portal fields to report symptoms or ask clinical questions. Call 540-472-4050.

The portal is not your complete medical record. To request records, follow the process described in our Privacy Policy or contact us.

4. Keeping your account secure

Each sign-in requires a one-time code sent to the mobile phone number on your record, even when you begin signing in with a linked Google, Facebook, or Microsoft account.

Keep your phone and email account secure. Do not share sign-in codes or sign-in links. DoorStep will never ask you to disclose your sign-in code. Sign out when you finish using a shared or public device.

Call 540-472-4050 immediately if your phone number changes, your device is lost, your number is disconnected or reassigned, or you suspect someone has accessed your account without permission.

You are responsible for activity under your account, except activity caused by our failure to maintain reasonable security.

We may suspend or close your account if you violate these terms, your authority to act for a patient ends, your relationship with the patient ends, or we need to protect a patient’s information.

5. Appointment text messages

By providing your mobile number and using the portal, you consent to service text messages about your appointments, such as confirmations, reminders, arrival updates, and notices that a clinician is ready for a call. These messages are not marketing texts.

Message frequency depends on your appointments. Message and data rates may apply. Text messages are not encrypted end to end and may appear on your device’s lock screen.

To stop text messages: [Verified text-message opt-out instructions]. For help: [Verified text-message help instructions]. If you opt out, you will no longer receive appointment reminders or notices that a clinician has joined a call.

Mobile carriers and Twilio, our text-message provider, are not responsible for delayed or undelivered messages, to the extent permitted by law.

6. Video and audio calls

Your browser will ask permission to use your camera and microphone when you join a call. You may revoke those permissions at any time, although doing so may prevent a video or audio call.

We do not record live portal calls. Call audio and video use encrypted connections and are not stored by DoorStep. This is different from clinical images or recordings captured during an examination, which are described in our Privacy Policy.

Do not record a call without the express consent of every participant. Recording may also be subject to applicable law. If you need a record of the discussion, ask the clinician to document it in the medical chart.

Join calls from a private location. If connectivity is poor, we may complete the conversation by telephone instead.

7. Using the portal responsibly

When using the portal, you agree not to:

  • Access or attempt to access patient, contact, or appointment records without permission.

  • Claim someone else’s contact record or use someone else’s phone, email, or linked account to sign in.

  • Scan or test the portal’s security, bypass access controls or usage limits, or automate access with scripts, scrapers, or bots.

  • Reverse engineer the portal, attempt to obtain its source code, or use it to build a competing service.

  • Upload malicious software or interfere with the portal or its supporting systems.

  • Use the portal unlawfully or to harass, threaten, or impersonate anyone.

  • Record, redistribute, or publish another person’s health information or call content obtained through the portal.

8. Information and content you provide

You retain ownership of content you provide. You give DoorStep a nonexclusive, royalty-free permission to use, store, and process that content solely to deliver care, operate the portal, and meet legal obligations. This permission lasts for as long as we are required to retain the associated record.

Only provide content you have the right to share. Do not provide another person’s health information without appropriate authorization. This permission does not replace a HIPAA authorization when one is required.

9. Optional third-party sign-in

You may choose to link an available Google, Facebook, or Microsoft account. Use of that provider’s service is also subject to its own terms and privacy policy, which DoorStep does not control.

A linked account does not replace the one-time phone code. You can disconnect a linked account in the portal and continue signing in by phone code.

10. Ownership of the portal

DoorStep owns the portal, its software, design, and content, which are protected by intellectual property laws. We give you a limited, revocable, nonexclusive, nontransferable permission to use the portal for the purposes described in Section 3. This permission does not transfer ownership to you.

11. Portal fees and medical billing

The portal is free to use. Medical services are billed separately under your financial agreements and insurance coverage. Information displayed in the portal is not a quote, cost estimate, or guarantee of insurance coverage.

12. Changes to the portal or these terms

We may change, suspend, or discontinue any part of the portal at any time. We may also update these terms. The current version will be posted at [Terms of service URL] with its effective date.

We will notify you by text message or email before material changes take effect. Continuing to use the portal after the effective date means you accept the updated terms.

13. Closing your account

You may stop using the portal at any time. To request account closure, email info@doorstepuc.com. We may suspend or end access as described in Section 4.

Closing your portal account does not delete the patient’s medical record. Records are retained as described in our Privacy Policy. Sections 8, 10, and 14 through 18 continue to apply after portal access ends.

14. Portal availability and warranties

To the extent permitted by law, the portal is provided "as is" and "as available," without express or implied warranties. This includes implied warranties of merchantability, fitness for a particular purpose, title, and noninfringement.

We do not guarantee uninterrupted, timely, secure, or error-free access, or that every item displayed is complete or current.

These disclaimers apply to the portal software. They do not reduce a clinician’s legal duties or disclaim responsibility for professional negligence in medical care. Some states do not allow certain warranty exclusions, so those exclusions may not apply to you.

15. Limits on liability

To the maximum extent permitted by law, DoorStep is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from your use of the portal, or for losses of profits, data, or goodwill, even if we were told such losses were possible.

DoorStep’s total liability for all claims relating to the portal is limited a predetermined liability cap amount.

These limits do not apply to personal injury or death, professional negligence in medical care, gross negligence, willful misconduct, or liability that cannot lawfully be limited. Some states do not allow certain limits, so those limits may not apply to you.

16. Claims resulting from misuse

You agree to indemnify and hold DoorStep harmless, meaning cover claims and costs, including reasonable attorneys’ fees, arising from your violation of these terms, violation of law or someone else’s rights, or access to patient information without the authority you claimed to have.

This obligation does not apply to claims arising from DoorStep’s own negligence or misconduct.

17. Disputes, arbitration, and class action waiver

Please read carefully. This section affects your legal rights, including your right to file a lawsuit in court and have a jury decide your case.

17.1 Try to resolve the dispute first

Before starting arbitration, you must send written notice to 4532 Plank Rd., Fredericksburg, VA 22407, describing the dispute and the outcome you seek. DoorStep will do the same for any dispute with you. Both parties must make a good-faith effort to resolve the dispute for 60 days after the notice is received. This step is required before arbitration.

17.2 Individual arbitration

Except for the exclusions in Section 17.4, you and DoorStep agree to resolve disputes relating to these terms or the portal through binding individual arbitration rather than court. The Federal Arbitration Act governs this agreement.

Arbitration will be administered by an assigned arbitrator under applicable arbitration rules, in Spotsylvania County, VA by telephone or video, or, at your election, in the county where you live. One arbitrator will decide the dispute and may award the same individual relief a court could award.

17.3 Class action waiver

You and DoorStep may bring claims against each other only as individuals, not as plaintiffs or class members in a class, collective, consolidated, or representative proceeding. The arbitrator may not combine claims or conduct a representative proceeding. If this waiver is unenforceable for a particular claim, that claim must proceed in court. The rest of Section 17 continues to apply to other claims.

17.4 Exceptions

Arbitration does not apply to individual small claims cases that remain in small claims court; claims seeking injunctive relief concerning intellectual property; claims for medical malpractice or professional negligence in care; or claims that cannot lawfully be arbitrated.

17.5 Your 30-day right to opt out

You may opt out of the arbitration agreement in Section 17.2 and the class action waiver in Section 17.3 within 30 days of first accepting these terms. Send your name, the phone number on your account, and a statement that you are opting out of arbitration to info@DoorStepUC.com or 4532 Plank Rd., Fredericksburg,VA 22407
Opting out does not affect your care or the other terms. If you do not opt out within 30 days, these provisions apply to you, subject to applicable law.

17.6 Disputes outside arbitration

Disputes not subject to arbitration must be brought exclusively in the state or federal courts located in Spotsylvania County, VA. Both parties consent to those courts’ jurisdiction. This provision is subject to the small claims exception and applicable law.

18. Other terms

Governing law. These terms are governed by Virgina law, without applying its conflict-of-laws rules. The Federal Arbitration Act governs Section 17.

Severability. If a provision is unenforceable, the remaining provisions stay in effect, subject to the specific rule in Section 17.3.

No waiver. A decision not to enforce a provision does not waive the right to enforce it later.

Transferring this agreement. You may not transfer these terms to someone else. DoorStep may transfer them to a successor in a merger, acquisition, or sale of assets.

Entire agreement. These terms and our Privacy Policy form the entire agreement about the portal. They do not replace treatment consent forms, financial agreements, or HIPAA authorizations for care.

Events beyond our control. Neither party is responsible for failures caused by events beyond its reasonable control.
